職責
高級私人秘書將為香港人才服務辦公室總監提供秘書及文書支援服務。職責包括-
(a) 英文及中文文書處理;
(b) 篩選和訂定所有收到的文件/檔案/來函的優先次序,並就任何重要事項提醒香港人才服務辦公室總監;
(c) 為香港人才服務辦公室總監處理電子郵件、檔案及文件,例如擬備投影片、文件印刷、檔案存檔及相關跟進工作;把相關文件分發給負責人員處理;跟進工作進度並在有需要時採取行動;以及提醒香港人才服務辦公室總監提交報表的限期等;
(d) 接待訪客,並與香港人才服務辦公室總監的聯絡人聯絡;
(e) 處理查詢/投訴;
(f) 處理其他辦公室行政職務,例如索取報價單和預訂機票、處理香港人才服務辦公室總監的申領及津貼事宜等;
(g) 管理香港人才服務辦公室總監在會議、活動及其他約會方面的日誌,並作出適當的預約及交通安排和編製有關的資料摘要及檔夾;以及
(h) 執行高級人員指派的任何其他職責。

The Senior Personal Secretary will provide secretarial and clerical support to Director of HKTE. Duties include –
(a) English and Chinese word-processing;
(b) screening and prioritizing all incoming documents/files/correspondences and alerting the Director of HKTE of any matters of significance;
(c) handling emails, files and documents for Director of HKTE, such as preparing PowerPoint slides, document printing, filing and relevant follow-up work, disseminating relevant documents to subject officers for action, keeping track of progress and action as necessary and reminding Director of HKTE of the deadlines for returns, etc.;
(d) receiving visitors and liaising with Director of HKTE’s contacts;
(e) handling enquiries/complaints;
(f) handling other office administration duties such as obtaining quotations and booking of air tickets, handling claims and allowance for Director of HKTE, etc.;
(g) managing the diary of Director of HKTE with respect to meetings, functions and other appointments, making suitable booking and transport arrangement, and compiling relevant briefs and folders; and
(h) performing any other duties as assigned by senior officers.

入職條件
申請人在獲聘時必須是香港特別行政區永久性居民,並須–
(a) 具備最少15年在秘書及行政方面的全職工作經驗,具有為高級行政人員或總監提供支援的經驗更佳;
(b) (i) 在香港中學文憑考試五科考獲第2級或同等[註(1)]或以上成績[註(2)],或具同等學歷;或 (ii) 在香港中學會考五科考獲E級或以上成績[註(2)],或具同等學歷;
(註(1):香港中學文憑考試應用學習科目(最多計算兩科)「達標」成績,以及其他語言科目E級成績,會被視為相等于新高中科目第2級成績。)
(註(2): 有關科目不可包括中國語文科或英國語文科。)
(c) 符合語文能力要求,即在香港中學文憑考試或香港中學會考中國語文科和英國語文科達第3級或以上成績,或具同等成績;
(註: 2007年前的香港中學會考中國語文科和英國語文科(課程乙) C級成績,在行政上會分別被視為等同2007年或之後香港中學會考中國語文科和英國語文科第3級成績。)
(d) 具有卓越的人際及溝通技巧,中英文書寫能力及會話能力優良(粵語和普通話);
(e) 在管理文件、信函及行程編排方面注重細節及準確;
(f) 在資訊保密和謹慎處理敏感資訊方面觸覺敏銳;以及
(g) 熟悉應用MS Word、MS PowerPoint、MS Excel及MS Outlook等常用商務軟件。

Candidates must be permanent residents of the Hong Kong Special Administrative Region (HKSAR) at the time of appointment and should have –
(a) a minimum of 15 years’ full-time work experience in secretarial and administrative roles, preferably supporting senior executives or directors;
(b) (i) Level 2 or equivalent [Note (1)] or above in five subjects in the Hong Kong Diploma of Secondary Education Examination (HKDSEE) [Note (2)], or equivalent; or (ii) Grade E or above in five subjects in the Hong Kong Certificate of Education Examination (HKCEE) [Note (2)], or equivalent;
(Note (1): “Attained” in Applied Learning subjects (subject to a maximum of two Applied Learning subjects), and Grade E in Other Language subjects in the HKDSEE are accepted as equivalent to Level 2 in the New Senior Secondary subjects in the HKDSEE.)
(Note (2): The subjects shall not include Chinese Language or English Language.)
(c) met the language proficiency requirement of Level 3 or above in English Language (Syllabus B before 2007) and Chinese Language in the Hong Kong Certificate of Education Examination (HKCEE) or the Hong Kong Diploma of Secondary Education Examination (HKDSEE), or equivalent;
(Note: Grade C in Chinese Language and English Language (Syllabus B) in the HKCEE before 2007 are accepted administratively as comparable to Level 3 respectively in Chinese Language and English Language in the 2007 HKCEE and henceforth.)
(d) excellent interpersonal and communication skills with good command of both written and spoken English and Chinese (Cantonese and Putonghua);
(e) attention to detail and accuracy in managing documents, correspondence and scheduling;
(f) sensitiveness to maintain confidentiality of information and handling sensitive information with discretion; and
(g) proficient in the application of common business software such as MS Word, MS PowerPoint, MS Excel and MS Outlook, etc.
