職責
行政助理的主要職務和職責如下:
(a) 協助聯絡活動主辦機構及與有關政府部門協調,為出席各種場合、活動或會議的高層人員提供所需的後勤支援;
(b) 為各種場合、活動或會議提供現場支援;
(c) 根據相關政策範疇進行合適市場調查及分析,以滿足策劃公眾教育及宣傳活動的需要;
(d) 提供一般行政支援,包括處理日常行政工作、採購事宜、處理信件、安排會議、執行後勤工作、草擬信件、準備會議材料和文件夾、編製報表、接待訪客和拍照/拍攝視頻等;
(e) 處理活動主辦機構/組織的信息及請求,接聽來電並將有關事宜轉介適當人士,以便及時跟進;以及
(f) 執行上級人員指派的任何其他職務。
註: 獲取錄者或須不定時及超時工作,包括在晚上、周末和公眾假期工作;以及在戶外工作 [如適用]。

The Executive Assistant will be deployed -
(a) to assist in liaising with event organisers and counterparts within the Government to provide necessary administrative and logistics support to the senior officers in attending functions, events or meetings;
(b) to provide on-site support to meetings, events and conferences;
(c) to conduct market research and analysis as appropriate to cater for public education and publicity programmes in relation to respective policy portfolio;
(d) to provide general executive support including handling day-to-day administrative work, procurement matters, incoming correspondences, arranging meetings and the logistics, drafting correspondences, preparing meeting materials and folders, compiling returns and receiving visitors, taking photos/videos, etc.;
(e) to handle messages and requests from event organisers/organisations and to assist in answering telephone calls and referring the subject matter to appropriate parties for timely follow up; and
(f) to perform any other duties as assigned by senior officers.
Note: The post holder may be required to work irregular hours or overtime, including evenings, weekends and public holidays, and work outdoors [if applicable].

(c) 在取得學位後,具備至少三年全職在政府或大型公私營機構從事企業傳訊和推廣、活動管理、項目管理、客戶服務或行政的工作經驗。
符合下列條件的申請人將獲優先考慮 –
(a) 熟悉香港的醫療體制,尤其是對中醫藥作為香港醫療系統的重要部分及中醫藥在香港的服務及發展的認識;
(b) 與中醫藥界有事務往來或從事中醫藥有關工作的經驗; 以及
(c) 操流利普通話(見註2)。
註1:2007年前的香港中學會考中國語文科及英國語文科(課程乙)C級的成績,在行政上會分別被視為等同2007年或之後香港中學會考中國語文科和英國語文科第3等級的成績。

(a) acquired a bachelor degree from a university in Hong Kong, or equivalent, preferably in Business Administration, Communications, Public Relations or Public Administration/Government Studies;
(b) met the language proficiency requirement of Level 3 or above in Chinese Language and English Language in the Hong Kong Certificate of Education Examination (HKCEE) or the Hong Kong Diploma of Secondary Education Examination (HKDSEE), or equivalent (Note 1); and
(c) at least three years’ post-degree full-time work experience in government or sizable public or private organisations in corporate communications and promotion, event management, project management, customer service or administration.
Candidates who possess the following attributes would be an advantage:
(a) knowledge of Hong Kong healthcare system, in particular knowledge of Chinese medicine (CM) as an integral part of the healthcare system in Hong Kong, its services and development in Hong Kong;
(b) experience in dealing with or working with the CM sector or CM-related work; and
(c) good command in Putonghua (Note 2).
Note 1: Grade C in Chinese Language and English Language (Syllabus B) in previous HKCEE are accepted administratively as comparable to “Level 3” in Chinese Language and English Language in the 2007 HKCEE and henceforth.
Note 2: Candidates should indicate the proficiency in Putonghua under the item “Academic Attainment” in the application form.
Candidates should –
(a) have good computer skills, such as the use of spreadsheet and, Chinese and English word-processing;
(b) have good command of spoken and written English and Chinese;
(c) have good communication and interpersonal skills;
(d) be receptive to advice and approachable to work as a team; and
(e) be able to work under pressure to meet imminent deadlines.
